Case study

Planning a 300+ Person Company Retreat in Morocco

Participants: 300+ employees from around the world
Location: Palmeraie, 15 min drive north of Marrakech
Duration of Planning: 10+ months

Background & objectives

The client approached us with a new challenge: to organise their first-ever full company meet-up for over 300 employees. Having supported them on multiple smaller retreats of up to 172 participants, we were ready to scale the experience to a much larger group.

This was their testimonial for one of our past retreats:

Main goals

The main goals were:

  • Unite employees from around the world in one place for the first time.
  • Strengthen team bonds and foster camaraderie.
  • Share and align on the company’s vision for the future.

With attendees flying in from multiple continents, the retreat needed to be accessible, logistically sound, and planned with precision.

Our company, saas.group had its annual retreat and this year it was held in Barcelona, Spain. To be honest, this was by far the biggest event I had the privilege of organising and it would not have been as successful if not for the relentless support provided by our excellent Retreat provider, NextRetreat with of course a special shoutout to my retreat specialist Nadia Dzurovcinova. Everything we have planned (for months!) went exactly how we imagined, or perhaps even better!”

Early planning

We began preparations a year in advance, which is the ideal timeline for events of this scale.

  • Find and secure an exceptional venue with multiple meeting rooms and versatile spaces.
  • Arrange top-tier leisure activities with trusted local providers.
  • Ensure catering options accommodate diverse dietary needs and tastes.
  • Build contingency plans for travel, weather, and schedule changes.

Why Morocco?

Marrakech offered the perfect blend of accessibility, infrastructure, and facilities:

  • Well-connected international flights.
  • Warm climate and unique landscapes.
  • World-class hospitality and infrastructure for large-scale groups.

Technology & logistics

With events of this size, collecting and managing attendee information is critical: room allocations, flight details, dietary requirements, sleeping and activity preferences, and syncing communication with the client.
We used our proprietary NextRetreat app, which streamlined:

  • Gathering all administrative details from attendees.
  • Communication between client and our retreat specialists.
  • Managing logistics across multiple time zones.
  • Coordinating schedules and resources in real time.
  • Sharing updates with all attendees.

Results

  • Smooth coordination for 300+ participants from multiple countries.
  • Employees leaving inspired and connected.
  • Excellent feedback on the venue, catering, and balance of work and leisure.

The retreat not only met but exceeded the client’s objectives—creating lasting memories while setting the tone for future growth.

Experience that matters

With over 16 years in the MICE industry, our team has the know-how to make even the most complex logistics manageable. What often looks like an effortless retreat on the outside is the result of meticulous planning and coordination behind the scenes.
